Email issues you might want to be aware of

I wanted to start a new thread here, even though this issue was touched upon in this tread here: http://pdaphonehome.com/forums/showt...highlight=pop3
however, I've done some testing, and unless it's me (which I don't think it is), there is some very good possibility that people may be losing emails.

First off, I noticed today, only after having the phone for a day and a half, that if you delete emails from the phone (pop3), it does INDEED delete them from your server. I don't know about you all, but this is totally unacceptable to me.

Secondly, I did a test. I sent myself 3 emails. Subject line containted #1, #2 and #3, all from 3 other email addresses. I sent them from my computer. I opened them on the Q, got all 3. ONLY GOT 2 on my computer: #1 and #3... so where did the #2 email go?????? Can you risk losing emails on your computer? I know I can't.

THEN, I KEPT them on the Q, sent a few more from the computer from my play email addresses to my corp email address... and when I did a Send/Receive on the Q, the emails that were ON THE Q, disappeared!!! WHERE ARE THEY NOW? Now I don't have the test email #2 ANYWHERE.

I called VZW today and the tech, while very nice, did some research. He was unaware of the issue. Ran his own tests and the same thing happened to him... he LOST THE EMAILS. He went to a Supervisor and told him, and the Supervisor was aware and said 'they know about it, but nothing is going to be done probably til the end of Q3....that is over 3 months away.

Love the screen on this phone too. Too bad.

I'd be curious if anyone else has encountered this. I can't risk losing messages.

No such problems here. You could be having some issues with your mail server as well. There are settings on mail servers that determine whether copies of email are left on them after they've been downloaded or deleted from other devices or PC's. I'd check and make sure all those are in line before you give up on the Q. I get about 60-70 emails a day from my Exchange server and about half that on my Gmail account that I am using POP for on the Q. I haven't lost one yet.

After reading your email, I went in and check my Outlook settings. They are SET to have mail 'stay on the server'. I did more tests this morning and again, I got the emails on the phone but not on the computer.

This happens when you do a s/r after you delete an email. Have you actually TESTED THIS? It's not working for me.

Do this test.

Send an e-mail to yourself.
Check it from you PDA. (dont do another send and Recieve from your PDA leave the e-mail on the device).
Then check it from your PC and it will be on both.

Now do the same thing (send and e-mail to yourself) this time after viewing on your PDA, delete it from you PDA and do a send and recieve from the PDA. (this will remove it from your server).
Now go to your PC and check for e-mail. That e-mail will not showup becuse it was removed for the server by the PDA.

That is EXACTLY what I am saying and I think that is a HORRIBLE bug that needs fixed, and VZW said it probably won't be fixed til end of Q3.

I found this out the hard way. I received an email from my web developer. I picked it up Thurs night on my Q at 1030pm. I ACCIDENTALLY deleted it when going to do a send/receive to 'get the remaining part of the message'.

At first I thought, oh well, not a big deal, I'll read it tomorrow on my computer because I didn't feel like firing up my whole computer to read one email at 1030 at night.

Well, at 7am, there was NO EMAIL THERE. I never got to read it.
I looked in the Q in 'deleted items' and it wasn't there?

If they are not in DELETED ITEMS, where do these emails go once you delete them from the phone?

Great screen, nice size and all the features, but if you ask me, this is a MAJOR FLAW.

tHIS IS NOT SPECIFIC TO THE q.
i HAVE THE I730 AND IT WORKS THIS WAY. Been this way since I got my i730 in July of 2005.

If you want to keep the e-mail just moce it out of the inbox and it wil be saved. or dont delete it from PDA. Then if and when you delet it from your PC the next time your send and recieve on the PDA it will be auto removed.

As long as you know how it works you can deal with it.

I am surprised there is not an option to 'leave mail on server' under the client settings on the Q... I use that setting in Thunderbird so I can check my mail from other computers.. Maybe I will just download all mail to a central server and have the Q check there , so anything that happens won't affect my main pop3 box...

This whole issue that you are describing is not a problem with the Q, It's simply how IMAP works. It's so you can view your email on multiple systems as well as through web mail. If you delete an email on your Q, it will delete from the server. If you want to save the email, don't delete it on the Q. If you are anal and don't want messages that you have already read in your Q inbox, move them to a different folder and save them for later viewing on another system.

Thats fine, I appreciate all the comments. I personally don't care for it and I've had enough PPC cell phones and this is the first time I encountered this. I think this is all too much trouble so I'm going back to my Treo until something better comes along!!

Guys, I am very confused by this thread.

I've had an i730, a 700w and a Treo 600. With each, I used wireless sync for email from my exchange server (via the desktop). As a rule, I don't delete email unless it's junk - but I have had issues in the past with inadvertently deleted emails. In all cases, any items that were deleted from the device did exactly what an item deleted from my desktop would do - it went into the deleted items folder on my desktop, and I was able to retrieve it. I'm not sure whether they went into the deleted items folder on the device, because I never checked. In any event, these items were never really lost, only misplaced.

What is it about Cruiselineguy's setup that is different and would cause him to actually lose those emails?

I've actually never had an problem with my Treo 600, 650, or 700w, but on the Q, I DOES delete them PERIOD. They are NOT in the deleted items folder AFTER YOU DO A SEND/RECEIVE... they are GONE.

I do S/R's all day to check email.
On my Treo 700, I basically used it to scan over messages throughout the day, answering things that were very important, otherwise, I just delete them on the phone only to answer them on my computer when I'm back home or in my hotel.

WELL, that doesn't happen on this phone. It DELETES them from BOTH after a Send Receive.

I am seeing another issue. The emails on the phone delete themselves but not into the deleted folder...they are gone completely. They are not on the server and they are still in my Outlook mailbox. I started this AM with 4 emails and by this evening they were all gone. I didn't delete them, they just vanished.

Did you set up your phone to do an auto check for e-mail every so often?

Gentlemen... this thread started out describing problems with POP mail. There seemed to be a shift in the discussion to IMAP mail. Can someone clarify for me please? Is this "disappearing" problem limited to POP email? Does IMAP work the same as it does normally? Thanks.

In my case it is a pop email account and I have it set to retrieve every 15 minutes. I also have my outlook set to leave a copy on the server until it is deleted or 7 days.

So does anybody know how to remove your emails on Q without erasing them? I currently have 300 emails on my Q and am afraid to erase them because I do not want to lose my emails. I am using Imap4. I was thinking about just deleting my account on the Q. This shoud just remove my emails without deleting them.

Couple of ideas:

1. Lower the number days you sync to the phone. Maybe cut to 1 or 2 days. That will remove them from the device and keep them on the server.

2. Set up another folder, call it for example, PDA Deleted and set it up to sync to the desktop (server). Move your email to it. Then on the desk top once a week or however often you want, move the mail to some folder on the desktop that does not sync with the device.

So Rob you are saying if I lower the sync rate my new emails will replace the old emails on my Q without deleting them from the server? Do you know that the threshold for the amount of emails the Q can hold before the old emails are replaced? Can you set a limit or have the emails stored on the sd card. I dont see any of these options. Thanks

As I recall, on the PPC, you can tell the PDA how long before aging emails off the phone (not deleting them.) I don't see this on the Q. Am I missing something?
