Phone usage tracking applications: TodayPhone Pro vs. Phone Dashboard

Keeping track of cell phone minutes is something most PDA phone users need to do. While my plan is generous, there have been a couple times that I've gone over. At the punitive rates they charge for extra minutes, even a few minutes extra costs more than these tracking apps. If I had known I was at or near my usage limits, I would have made some adjustments to my usage.

The first app on the scene to solve this problem was FunnySnake's TodayPhone Pro. While that application gave some limited ability to track usage, it didn't give you the ability to separate peak/off-peak/weekend usage. You had to export the data and manually separate those, making it cumbersome and time-consuming to use for this purpose.

TodayPhone Pro is a minor upgrade to TodayPhone, which is a Today Screen app to let you manage/view recent calls. Since the built-in calls app also does this, I found that feature a bit redundant, but it is TodayPhone Pro's primary emphasis.

TodayPhone Pro also has a few nagging little issues that I found annoying in usage. For one, it uses European dates and a 24-hour clock, rather than using your default regional settings. The sorting and report options are useful for casually viewing usage, but nothing in the app helps you compare it to your plan.

FunnySnake has stopped updating the program since shortly after release, so I have little hope for improvements at this time.

Attempting to fill this void is the new release of Phone Dashboard by Hudson Mobile. They took the opposite emphasis; a strong reporting and plan usage tracking system, but a very simple Today Screen display.

Initially I was rather unimpressed with the Today Screen display, which has two options; compact and expanded. In expanded mode it shows all of the statistical items line by line. In compact mode it shows a single line and cycles through them in sequence (you can set the cycle time).

You can also select which items to include on the Today Screen:

But that initial disappointment quickly faded as I discovered the power of the application. In particular, its ability to compare your usage to your plan, and predict your plan capacity throughout the month. The program has a variety of views for your usage data, making it powerful while being very straightforward and intuitive to use.

The images below are just a few of the possibilities. You can view data graphically or in a list, by hour per day, day per month or month per year. You can group calls by number and see a total for that number.

A Today popup shows your current and projected usage:

Besides the built-in reporting options, Phone Dashboard also allows you to export your usage. This is useful to me for client contract tracking and generating billable time. When I'm driving I just don't want to make entries in my time billing program, so I can just export my calls and review them in Excel for billable time.

And finally, the configuration options give you the ability to set your plan tracking options and much more. The program is very configurable, and they plan to add more options soon.

I made a few suggestions, and got a very quick and positive response. One of the often-requested features they plan to add soon is the ability to separate mobile-to-mobile usage. This is important for me, and I suspect many people, because mobile-to-mobile calls make up about 25% of my total usage. I count on that to keep me from exceeding my plan.

In summary, I highly recommend this program. The price is a bargain compared to exceeding your plan by just a few minutes. It is small, reliable, and effective. I'll be sending in my registration payment shortly.

Does the program allow you to designate time of day for the peak and offpeak and weekends. Or do you just tell it it is Verizon, for example, and it knows the times already?

When you install in middle of billing cycle, what does it do?

I saw there was an alert tab - does it put an alert on screen when you're close to limits?

The "advanced" button lets you set specific times when the peak/off-peak applies. Those can be combined with weekend minutes or seperate. Each can have a bucket or be unlimited.

Since the program uses the built-in call logs, you can install it any time without affecting accuracy. It doesn't track time; your phone already does that. What it does is analyze those call logs for you. One thing is you'd want to set your call logs to retain the data for at least a month or more. I have mine set to 6 months and the log size is not an issue.

Yes, you can set multiple alerts for specific usage percentages. There are red and yellow alerts (default to 90 and 75% of plan minutes) and a periodic alert set to remind you at each 25% increment. You can change any of their settings.

A couple more questions:

Since it uses call logs, then it should agree exactly with your minutes used per your cell phone statement, right? I mean, it goes ahead and rounds to the whole minute and all that?

Have you gotten a bill and compared to see if log agrees to statement?

Thanks for your response.

It does have an option to round up minute usage. The product hasn't been available long enough for me to go through a billing cycle. I wouldn't worry about it matching the bill though; I mean, that part's easy and basic programming. Simple math.

Where do you change the setting for how long your call logs are retained?

I have a T-Mobile MDA w/WM2003 and Phone Dashboard (I bought it right away, since I've been using and loving their "IP Dashboard" companion product for data usage tracking).

I just started using it in the middle of my bill cycle, but I don't think my call logs go back far enough, since it's reflecting less usage that I think I have...

I've looked in the Phone settings, and can't find any reference to how long it should retain call tracking info. Any pointers?

It is kind of obscure. Go to the call history screen, tap Tools/Call Timers. For me, that was counter-intuitive as I expected to find it in the phone settings, but I guess it makes sense in a way.

I think the default setting is two weeks.

Ah. That did it. Mine was defaulted to 1 week. I changed it to 6 months.

Since this affects the underlying data that Phone Dashboard uses, it might be helpful for them to include a check of this setting in their documentation/setup process, since it's so obscure.

Thanks SwampNut!

Yeah, your question reminded me of that. I sent them the suggestion.

Well, based your review I downloaded the trial version to check it out. I have a samsung i700, with Verizon Americas Choice plan with Express Network counting out of my peak minutes.

I was very disappointed to discover that the program does not register the data calls in the call logs and therefore will be useless to me. It only tracks voice calls. My data minutes take up a substantial portion of my 800 monthly minutes.

In fairness to the programmers, there is nothing they can do about this because the internal call log on the phone does not track the data calls, it only shows the voice calls. So the program is doing what it is designed to do.

Oh well, it was worth a try. This works great for those needing voice call tracking only.

I think there are other programs to track data calls. Perhaps between the two of them you would be covered.

But if you have an unlimited data plan, this would be great.

You should send your concern to the developers and see if they can do anything. I rarely make CSD calls, so I've never noticed whether they are logged. There are programs out there to track data usage, but I think they're all byte-based not time.

I did email support and they replied back that they were aware of the problem with Verizon and were working on a solution. I will buy if they can come up with a fix.

Perhaps this may be too much to ask, but do you think it would be a good idea to be able to see how many calls were based on a Contact Category, such as Personal or Business, and show separate timers for each category?

Also, an editable list of numbers not to be factored into the calling usage should be implemented, such as #646 #225 *228 (for Verizon Wireless users), and 611 (if any carrier charges for 611 calls, they should be ashamed of themselves).

Lastly, since they've created the IP Dashboard for data usage, they should be able to track time instead of how much data transfer was made, since VzW owners who have minute-plans or EN$0 provisions can take advantage of that.

Perhaps they can combine the two apps to make a killer, single Pocket PC Phone Edition utility. Phone Dashboard is almost The One, but it's got a few more tweaks and features needed to make it the "must-have" app.

They are planning to have some way to exclude "free" calls such as mobile-to-mobile.

Your category idea is interesting. I can speak for the developers, but this is probably something for farther along in the future since they still seem to be working on critical features and abilities.
